About the role:
Location: Kintore, Aberdeenshire
Hours: 37.5 hours per week
We are currently recruiting for an Operations Coordinator to join our Certification & Inspection team in Kintore, on a 1-year fixed term Maternity Cover contract.
This position is key in providing operational and administrative support to Motive Certification and Inspection to ensure a smooth transition and running of active jobs.
About the team:
As a part of our Certification & Inspection team, you’ll become part of a small, hardworking, and skilled team who are used to working collaboratively and to high standards. You will be supported by our Certification & Inspection Manager, Linzi, and have a team working alongside you who care deeply about what they do & the impact they have on the services we provide.
As well, you will be working alongside a committed and proud Motive team in the UK and globally, who want to play their part in the growth of the business and support each other daily to create a positive, values-driven professional environment.
Responsibilities:
- Adopting the Motive Offshore Group People Values and ensuring their use is embedded throughout day-to-day tasks and decision making.
- Ensure smooth running of day-to-day operations.
- Maintain server-based job files and ensure relevant information is stored as per procedures.
- Update costing sheets daily as per daily reports received by engineers.
- Ensure that all jobs are manned with correct personnel.
- Quote for all types of jobs, i.e. supply, inspection, rope access, spooling equipment etc.
- Liaise with client and/or third parties as requested by your line manager.
- Raise purchase orders and issue to suppliers.
- Complete costing sheets and submit to Finance for invoicing in a timely manner.
- Arrange transport of goods as required.
- Log and maintain all enquiries and orders within the Motive Salesforce system.
- Ensure that proposals and contract reviews are prepared to the required standards and are submitted within the necessary timescales.
- Assist with processing of employee expenses.
- Assist with organising personnel mobilisation, flights, visas, accommodation, medicals etc.
- Assist with organising training and recertification of engineers.
- Assist with organising hire of approved subcontractors in line with control of Subcontractor Procedures
- General filing and office duties
- Develop strong working relations with key stakeholders, clients, colleagues etc.
Required Skills/Knowledge:
- Experience of working in a similar role
- Proven track record of supporting personnel with operations such as cost sheets, Logistics and training.
- Able to work alongside external stakeholders such as clients and suppliers to ensure effective delivery of operations and build working relationships.
- The ability to confidently plan and manage jobs and work scope operations.
- Ability to work on own initiative and as part of a team & along with good communication skills.
- Ability to prioritise and organise
