About The Role
PD&MS Group are now looking for an experienced HRCL Administrator to join our HRCL Team in Aberdeen on a full-time employee basis. We are seeking candidates that are used to working in fast paced environments with high attention to detail. A motivated team player with excellent admin skills.  An excellent salary + benefits package is available for the successful candidate. We offer a hybrid working model where 2 days per week can be worked remotely. Candidates must have previous experience in a similar role to be suitable.

Summary:
The HRCL Administrator is required to support the HR and Contractor Liaison team with administration duties.

Responsibilities:

  1. Transference of electronic records to HR Management system and archive as required to comply with GDPR requirements
  2. Undertake any other tasks relating to GDPR as required
  3. Undertake CV formatting into company template ensuring professional language is used
  4. Assist with HRCL queries where possible, thereafter escalating
  5. Provide prompt responses to queries and manage expectations
  6. Assist as required with HRCL elements of Project PAAFing requirements
  7. Support new Employees and Contracting companies by:
  8. Issuing approved paperwork
  9. Close out of new start paperwork
  10. Completion of HR Management system record
  11. Establishing Contracting company record
  12. Assisting with personnel annual updates
  13. Database maintenance
  14. Assisting with e-visas and Business visitor Orders
  15. Monitor, maintain and distribute queries received to the HR, Contractor Liaison and training inbox
  16. Checking and saving Service Agreement renewals
  17. Checking and saving Contracting Companies insurance documentation
  18. Assisting with completion of leaver processing
  19. Follow up and filing Return to Work Forms
  20. Ensure the vehicle checks have been carried out and are appropriately recorded
  21. Undertake to arrange medicals, random drug screening and staff health surveillance and ensure all paperwork is returned timeously
  22. Administer training requests ensuring management approval is in place, booking of training and logistics where required.
  23. Ensure full flow process is followed and relevant records and trackers are appropriately updated.
  24. Undertake ECITB grant commitments and claims
  25. Assist with engaging with training suppliers ensuring terms and conditions are agreed and in place
  26. Resolution of any issues or problems arising from booked training, or escalate if required
  27. When required, assisting with 12 week and Annual Performance Review Paperwork issue and receipt
  28. When required, assisting with Contracting Company Performance Assessment paperwork
  29. Responsible for ensuring professional development is maintained and identified competency requirements are undertaken in a timely manner
  30. Adherence to the company integrated management system
  31. Compliance with quality assurance, health and safety and environmental policies
  32. Demonstrate and promote PD&MS QHSE principles and lead by example
  33. Ensure unsafe activities are challenged
  34. Adherence to the requirements of the best practice standards recommendations and processes in the undertaking of duties
  35. Demonstrate and promote PD&MS values and lead by example

About You
Qualifications:

  1. Pass grades at Standard level or equivalent in suitable subjects supported by an Administration qualification

Experience / competence:

  1. Demonstrable experience in a similar role
  2. Demonstrable administration experience (preferred)
  3. Competent in the use of MS Office applications, in particular excellent use of Excel and Word
  4. Excellent written and spoken English
